How to restrict editing function set in Microsoft® Word 2010

Typical business correspondence includes documents that document creators do not want modified by the recipients. Microsoft Office® 2010 offers a document locking function that restricts editing and is known as the “Restrict formatting and editing” feature. Follow the instructions below to learn how to set and use this feature in the Microsoft® Word application.

Restrict Editing function set:

  1. Launch the Microsoft® Word 2010 text editor.
  2. Switch to the “File” tab and choose the “Options” item. In the left pane, switch to the “Customize Ribbon” option.
  3. In the right side of the window you will see a list of main tabs. Tick the checkbox next to the “Developer” tab and click on the “OK” button.
  4. Now switch to the “Developer” tab on the main ribbon.
  5. In the “Protect” section, click on the “Restrict Editing” option.
  6. Typically, the “Restrict Formatting and Editing” settings will open on the right side of the window. The settings contain three parts:
    1. Formatting restrictions – If you check the “Limit formatting to a selection of styles” checkbox, you restrict the modifying of styles. By clicking on the “Settings” link you can specify the function.
    2. Editing restrictions – If you check the “Allow only this type of editing in the document” option, you enable the dropdown below. In the dropdown, you can select the operation you want to allow to execute in the document.
    3. In the “Start enforcement” section, click on the “Yes, Start Enforcing Protection” button. Set the password that will protect the document from unwanted changes.
  7. Save the document and close the application. You have now restricted editing and locked your Microsoft® Word 2010 document.
